FINANCIAL COORDINATOR

Remote | Full-Time

This role supports the CFO and Administrative Manager in managing day-to-day corporate financial operations, including reconciliations, reporting, and commission tracking, while contributing to the preparation of client deliverables and ongoing administrative coordination.

POSITION SUMMARY

The Financial Coordinator supports the Chief Financial Officer (CFO) and reports through the Administrative Manager in the coordination and execution of corporate financial and administrative operations. This role is primarily focused on financial functions, including daily corporate financial tracking, reconciliations, commission management, and accounts payable and receivable.

The position is responsible for maintaining accurate financial records, coordinating monthly, quarterly, and year-end reporting requirements, and ensuring the timely and accurate processing of financial transactions across the organization. The role also supports the preparation of client deliverables, including net worth statements and organizational structures, and provides administrative support through data management, document coordination, and follow-ups with internal and external stakeholders.

This is a remote, full-time position requiring strong attention to detail, organization, and the ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality.

KEY RESPONSIBILITIES

Financial Operations & Coordination:

  • Maintain and track daily corporate financial activity across entities
  • Perform regular reconciliations, including bank, credit card, and internal accounts
  • Track, reconcile, and maintain records of insurance commissions and related payments
  • Monitor and process accounts payable and accounts receivable
  • Manage expense tracking, coding, and reporting
  • Prepare and manage monthly, quarterly, and year-end financial reporting requirements
  • Support compliance and licensing requirements, including maintaining records and coordinating required filings
  • Maintain organized financial records and supporting documentation
  • Support the CFO with financial reporting and analysis as required

Commission & Payment Tracking:

  • Pull required insurance statements and track all incoming commission payments
  • Reconcile commission statements against internal records and expected amounts
  • Investigate, resolve, and document any discrepancies in commission payments
  • Coordinate, process, and track payments to related parties
  • Maintain accurate and up-to-date records of all commission activity and related payments

Client Deliverables & Support:

  • Support the preparation and ongoing updating of client net worth statements for CFO review
  • Create and maintain client organizational structures within applicable software systems for visualization and planning purposes
  • Maintain and organize client documentation, including electronic filing, in accordance with internal standards
  • Apply a working understanding of financial statements to support accurate client data entry and preparation of deliverables

Administrative Support:

  • Perform data entry and maintain accurate and up-to-date records within the Salesforce CRM system
  • Follow up with related parties to obtain client documentation and outstanding items in a timely manner
  • Coordinate and organize documentation across financial and administrative functions
  • Support administrative and operational tasks as required

 

QUALIFICATIONS & EXPERIENCE

  • Minimum 5 years of experience in bookkeeping and financial operations or accounting support roles
  • Strong understanding of basic accounting principles and financial processes
  • Experience with reconciliations, accounts payable/receivable, and financial tracking
  • Proficient in Microsoft Excel and financial tracking systems
  • High level of accuracy and attention to detail
  • Strong organizational and time management skills
  • Demonstrated ability to work independently in a remote environment, managing priorities, deadlines, and deliverables with minimal oversight
  • Strong written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion

 

COMPENSATION & STRUCTURE

  • Full-time, remote position
  • Preference for candidates located in British Columbia
  • Reports to the Administrative Manager, with day-to-day functional alignment to the CFO
  • $70,000 - $80,000 annually
