Position Overview: Responsible for support of the overall service process and management of time entry within the service department.

Job Description:

Major Job Functions:
  • Accurate daily time entry for the service department hourly employees
  • Support the Customer Service Advisors in the management of service process
  • Opening of Maintenance Customer Orders
  • Prepare and send the invoice to customers for completed work
  • Receiving, welcoming and referring customers to the relevant individual or department - both for in person visitors and incoming phone calls
  • Maintaining the in and out sheets and visitor logs as well as the professional appearance of the reception area
  • Managing inventory levels of office supplies
  • Assist in organizing branch functions (ex. bbq's, family day and customer events)
  • Data entry, filing, making travel arrangements, coding invoices and expense reports
  • Maintain confidentiality of projects, meetings and correspondence
  • Other administrative duties as required
  • Accountable for the open to invoice and average age of timecard entry
  • Accountable for accuracy and timely coding of accounts payable, expense reports, time sheet entry, attendance and vacation time recording
  • Accountable for accuracy and timely national safety code log submissions
  • Accountable to support the Service Work in Progress process and to identify the aging of work orders

Specific Skills & Knowledge:
  • Self-motivated and ability to work with minimal supervision
  • Strong organization, prioritization and time management skills
  • Strong verbal and written communication skills
  • Strong interpersonal skills
  • Strong attention to detail
  • Understanding of what to do with PI / PS letters
  • Understanding of Service Work In Progress (SWIP) management
  • Understanding of all policies related to the service department
  • Understanding of CAT / Non-CAT / warranty types
  • Understanding of the collective agreement as it relates to time entry, expense reports and meal allowance

Education & Experience:
  • Grade 12 education at a minimum
  • Post-secondary education in a related discipline considered an asset
