SENIOR ADMINISTRATOR, HEALTH AND SAFETY The Senior Administrator, Health and Safety is responsible for providing administrative support to the Health and Safety Team. This position will also administer aspects of the Velocity incident reporting system. This includes ongoing application support, maintaining data integrity, generating reports and providing global system support for all users.

CORE RESPONSIBILITIES

Health and Safety Administration
  • Provide administrative support to the Manager, Health and Safety and projects as required
  • Paying and tracking invoices
  • Drafts correspondence including letters, memos, reports, and presentation material
  • Preparation and distribution of corporate safety newsletters
  • Schedules appointments & meetings
  • Assist in the preparation and distribution of meeting agendas, minutes, hazard alerts, and relevant supporting material
  • Work with the mailroom to maintain the safety products guide, and order/coordinate the appropriate safety material (first aid, PPE, policy manuals, posters, etc.)
  • Open departmental mail and distributes accordingly
  • Coordinate travel arrangements, schedules, meetings, and training courses
  • Provide administrative support to the Vernon Office safety committee and the Corporate Store safety committee
  • Administers the Occupational Vision Plan (OVP) and hearing conservation programs
  • Tracking OHS orders, significant incidents, and communications
  • Monitor and track all safety training sessions
Velocity System Management
  • Manages and maintains system user directories and access rights
  • Maintains the manual hierarchy tree and electronic notifications
  • Produce various reports and ensure quality of data and system operation
  • Performs reviews and updates to ensure reports and action items are functioning correctly
  • Develops and maintains user instructions for varying roles within the organization
  • Develops and delivers training to system users and administrators

WORK EXPERIENCE
  • 4+ years of administrative experience or relevant combination of education and experience
  • 3+ years experience working with data management systems

KNOWLEDGE, SKILLS AND ABILITIES
  • Strong computer skills. In particular, the Microsoft Office applications
  • Proficient in the use of data information systems
  • High attention to detail
  • Strong communication and interpersonal skills
  • Proficient in the use of information systems for statistical analysis and graphics
  • Strong organizational skills
  • Ability to develop clear and concise data findings through the use of tools and visuals

EDUCATION
  • Grade 12
  • Post-secondary courses, certificate or diploma for computer applications such as Power BI, incident reporting systems, network administration or Business Administration

NEGOTIABLE REQUIREMENTS
  • Previous administrator or system support experience
  • Diploma or degree in computer applications
