Receptionist

The Receptionist is responsible for fulfilling STEMCELL’s reception services at the assigned office location(s), in addition to supporting office services and completion of front desk related projects that support the alignment of core services. The successful incumbent is part of a small team of receptionists providing coordinated services to the organization.

Duties and Responsibilities:

• Greet visitors and manage visitor/delivery logs.

• Answer and manage all incoming calls and direct them to the appropriate person and/or department.

• Issue and track temporary employee ID badges and Compass cards.

• Receive and sort daily mail/deliveries/couriers. 

• Print and post daily meeting room schedules.

• Draft and disseminate company-wide communications on behalf of the Facilities Department. 

• Facilitate document storage pickups, drop offs, and confidential shredding services; monitor off site storage inventory.

• Support the coordination of reception services at multiple sites.

• Coordinate catering, flowers and cake orders as required. 

• Maintain inventory of office supplies. 

• Act as a Fire Director during emergency evacuations.

• Provide administrative support to team members as required.

• Perform other duties as assigned.

Qualifications:

• Post-secondary education would be considered an asset e.g. Diploma.

• Minimum of 1-2 years in reception, administrative support and/or customer service is required.

• Customer-focused mindset with strong interpersonal skills.

• Excellent communication skills (verbal, written and presentation) both in one-on-one and in group settings. 

• Computer proficiency with advanced level typing skills is required.

• Top-notch organizational skills, detail-oriented and proficient at time management to execute multiple tasks.

• Demonstrates a proactive approach to assignments and projects.

• Team oriented - ‘one-team’ behavior is a must.

This role requires being fully vaccinated against COVID-19 as per STEMCELL’s vaccination policy, the current recommendations by local health authorities and as required by public health orders in place from time to time, including any COVID-19 boosters as recommended by local health authorities and as required by public health orders in place from time to time.
