Job Description Summary

Business Operations Products plays a key role in expanding STEMCELL's rapidly growing product lines. The Program Associate, BOP Products Operations is responsible for coordinating activities, processes, programs, and projects that support the overall objectives of Business Operations Products. This position supports the Director, Business Operations Products by contributing to the operational efficiency of this rapidly growing team, and provides the opportunity to be challenged with a variety of responsibilities in a fast paced environment.

Job Description

Duties and Responsibilities
  • Responsible for developing, streamlining and maintaining efficient administrative processes; liaises with other administrative teams within the organization as required.
  • Provide administrative support for projects and programs by tracking, reporting and following up on timelines and deliverables.
  • Plan, collect input for and prioritize agenda items for recurring meetings, including scheduling and recording minutes; follow up on action items and report status to relevant stakeholders.
  • Maintain the Business Operations Products operating structure; assist in updating and maintaining organizational charts, key processes, regulatory documents, and databases.
  • Serve as a project resource throughout all phases of the project life-cycle from inception to completion; coordinate with project leaders for cross-functional project plans (scope, timelines, deliverables and budget)
  • Work closely with the relevant counterparts in other departments to prepare and disseminate project communications to cross-functional teams and internal stakeholders.
  • Compile performance metrics (KPIs) in consultation with program teams and provide regular progress updates to the Business Operations Products group.
  • Assist with onboarding of new hires by providing training on administrative and operational tasks.
  • Coordinate and organize corporate training programs, team-building activities and other events within Business Operations Products.

  • BSc in life sciences, with 2 years of experience in an administrative role.
  • Highly professional and adaptable, with proven judgment and discretion with confidential matters.
  • Attention to detail and excellent record keeping skills.
  • Strong organizational and planning skills in an environment with fluctuating volumes and demands.
  • Excellent oral and written communication skills.
  • Proficient in Excel, Word and PowerPoint (or Google equivalents). Familiarity with database software is an asset.
  • Project coordination/management and/or event planning experience are significant assets.
  • Basic web programming experience preferred.
  • Anticipate needs and is proactive with solutions.
  • Thrives in a constantly changing and busy environment.
  • Creative problem solver.
  • Positive, can-do attitude.
  • Works well with both introverts and extroverts and a variety of different personalities/
  • Begins tasks with the end in mind.
