The Ballard Production Team has an opportunity for a regular full-time Production Coordinator to assist with both Operations and People & Culture initiatives and processes. This is an excellent opportunity for someone looking to apply and grow their knowledge and experience in a growing manufacturing environment. The successful candidate will be a highly motivated team player, have exceptional attention to detail, be process and procedure driven, and comfortable operating in a fast-paced, deadline driven, and continually evolving team environment.

Responsibilities:
  • Lead pre-boarding and onboarding process for Production, as well as a follow up / check-in with new employees
  • Oversee new hire documentation to ensure it is in alignment with internal processes as well as regulatory deadlines, and liaise with external staffing agencies, P&C, and the Production team as needed for a positive employee experience
  • Assist with assessments of production personnel and manage the administration of conversion from temporary to permanent employees, as needed
  • Organize and lead team meetings, to create shared understanding among diverse team members, and drive accountability on action items
  • Maintain confidential files and databases related to Production Resources (including team rosters, vacation planning, etc.)
  • Oversee, complete and maintain HR administration for the Operations team (forms, procedures and processes for new hires, status changes, departures, expenses, leaves of absence requests, safety equipment, etc.)
  • Gather and manage employee data, which will include conducting analysis, and preparing reports (e.g., HR Monthly Reporting, Performance Management Process, etc.)
  • Prepare and oversee correspondence, presentations and materials, as required by P&C and Production
  • Compile announcements for new employees, promotions, and other organizational changes
  • Monitor and maintain office supplies inventory for the team
  • Prepare department expense reports, processing purchase orders, and invoices
  • Provide support to budget and expense preparation. Support management of Production Assets
  • Resolve and respond to employee requests, and/or rout appropriately
  • Responsible for the updates and regular maintenance of Productions' internal Intranet site
  • Coordinate employee events as required
  • Participate in special projects as required


Requirements:
  • A minimum of 2+ years of administration experience
  • Relevant post secondary education is considered an asset
  • Excellent interpersonal, organizational and communication skills (oral and written)
  • High level of attention-to-detail, ability to prioritize and adapt to changing demands
  • Superior employee relations and problem solving skills
  • Ability to work independently as well as part of a dynamic team of professionals in an evolving, fast paced, customer focused environment
  • Ability to take initiative, be responsive, professional and a great team player
  • Advanced computer and technical skills in all aspects of MS Office Suite (Outlook, PowerPoint, Word, Excel)
  • Ability to maintain confidentiality and integrity in all aspects of work
  • Experience with Survey Monkey and other electronic surveys is an asset
