Office Services and Administration

The Office Services and Administration role is responsible for basic office maintenance and administration of Cayenta’s Burnaby office. Additionally, this role plays a key support position for the various departments, as well as support to individual employees that make up the Cayenta Team. The goal is to help make their time at the office enjoyable and productive!

Day-to-Day Activities:
General Office Administration/Support:

Perform receptionist duties, including answering the telephone, greeting visitors, and accepting deliveries;

Order weekly breakfasts;

Liaise with property management for facility issue management;

Coordinate Office updates/renovations with suppliers

Maintain a safe and organized environment throughout the office;

Order and re-stock office supplies as required;

Prepare boardrooms and arrange catering for client/partner visits;

Process incoming and outgoing mail/packages and distribute to the appropriate recipients;

Order and distribute business cards and name plates;

Track and distribute access key cards;

Miscellaneous duties as assigned

Sales, Support:

Assist with Proposal Printing and packaging

Research contracts and sales documentation as required.

Employee Support:

Assist with health and safety initiatives and WorkSafe BC compliance (AED training, emergency planning, building safety, etc.).

Assist with Employee engagement and recognition programs

Plan office and external social events

Skills and Qualifications:

  • Two to three years of related experience as an administrative assistant or an equivalent combination of education, training, and experience
  • High school graduation supplemented by post-secondary education such as business and admin courses
  • Excellent written skills and proven ability to develop clear, concise and comprehensive written reports
  • Excellent interpersonal, oral communications and relationship management skills
  • Intermediate Microsoft Excel skills
  • Demonstrated ability to work both independently and as a team player
  • Extremely well-organized and willingness to think on your feet
  • Excellent judgement in setting priorities, identifying issues and determining actions required when working under pressure and with important and sometimes conflicting deadlines
  • Adept at balancing major concurrent tasks and projects
  • Strong problem solving and diplomacy skills; commitment to quality and excellence
  • Working knowledge of committee functions and processes essential
  • Strong experience with Microsoft Office applications
  • Event planning



Some college or better in Business Administration or related field.



2-3 years related experience as an Administrative/Office Assistant or an equivalent combination of education, training, and experience


Experience with Health and Safety committee and WorkSafe BC requirements.
