Greet and assist visitors. Contact employee they are here to see
Distribute incoming mail, courier packages (as needed) and faxes
Organize office maintenance, including office supply inventory and ordering
Send outgoing courier packages
General administration and support which includes:
Booking meeting rooms
Business card requests
Communication with the building or office landlord, HVAC issues
Issuing access cards
Scheduling interviews and meetings
Posting new employee bios to Slack
Setting up new employees (seating plan, welcome package)
Liaison for events (culture club, fireside chats, bucketlist, fundraising initiatives)
Assist EA with additional admin support
Facilities coordination including:
Report issues to the building or arrange a relevant repair company
BD liaison with 310maxx/Oxford
Coordinating equipment/supplies/issues with Water and Fruit vendors
Supporting other departments with the following:
FedEx shipment rate requests for Sales & Pro teams
Review shipping invoices and work with shipping provider to resolve any errors . Weekly FedEx invoicing for the Canadian transactions
Manual FedEx waybills (e.g. items outgoing from the office, samples from vendor to customer, samples from warehouse to customer if system didn’t generate a FedEx #)
Coordinate purchase orders between sales system and payment system
Process and follow up on sample orders
Other duties as assigned.

What You Need to Know
1 – 2 years admin or customer service
