As the Manager, Graduate Studies Administration + Operations, you will be responsible for the day-to-day leadership of operations and administration of the Graduate Studies Office. This includes ensuring that proper operational and administrative procedures, policies, systems, and resources are in place to support the achievement of the Faculty of Graduate Studies’ initiatives, priorities, and mandates.

 

The Manager liaises closely with the Deans, Assistant and Associate Deans, internal departments, and graduate students throughout the University to support successful, efficient, and student-centered operations of the Faculty of Graduate Studies. This position provides support towards short- and long-term strategic planning, along with administrative and operational leadership and facilitation for program development, reporting, budgets, and projects for the area. In support of the Dean’s administrative responsibilities, the Manager collaborates with various internal departments and carries out duties to ensure excellence in graduate student experience, recruitment and retention and alignment with the University’s goals and mandates.

 

As the successful applicant, you should possess:

 

  • Master’s degree in Art, Design, Art or Design History, or the Humanities.
  • Minimum five (5) years of progressive experience in graduate program coordination, operations, or administration.
  • Or an equivalent combination of education and experience.
  • Strong knowledge of provincial, national, and international graduate programs in art and design.
  • Experience in student services.
  • Experience in the preparation, review, evaluation, and presentation of complex projects with multiple university stakeholders.
  • Experience with the administration of budgets, financial reporting, human resources, and/or strategic planning.
  • Leadership/supervisory experience in a unionized environment. 
  • Demonstrated effectiveness in strategic, operational, and administrative alignment to achieve goals across complex portfolios.
  • Strong communication skills, including the ability to succinctly present information orally and in writing.
  • Ability to deal effectively, tactfully, and positively with all university employees and students.
  • Ability to work in a consultative and collaborative fashion with a variety of key stakeholders.
  • Highly developed organizational abilities, including priority setting, balancing competing deadlines and project management skills.
  • Strong working knowledge of graduate student recruitment and retention processes.
  • Strong strategic and critical thinking skills and demonstrated analytical and problem-solving abilities.
  • Ability to interpret relevant policies, procedures, and guidelines and make informed recommendations and decisions.
  • Ability to adapt to changing priorities and resource constraints.
  • Ability to lead a team to achieve common goals.

 

Some Typical Duties include:
  1. Oversees day-to-day operations for the Faculty of Graduate Studies and works closely with faculty, academic leadership, and staff from multiple units to ensure positive student experience and alignment of operations to budgetary, strategic, and mandate requirements, including the University’s Strategic Plans and Equity, Diversity and Inclusion (EDI) Action Plans.
  2. Oversees the development, implementation, promotion, evaluation and delivery of the Faculty of Graduate Studies services, policies, and procedures. Collaborates with IT and other relevant departments in the development and implementation of departmental records management systems, data security protocols, and effective workflows.
  3. As a key resource to the Dean, advises the Dean of any internal and external issues and information of importance or relevance that may require action by the Dean.
  4. Provides advice, education and assistance to the academic team, community members, students, faculty and staff on relevant university policies and procedures.
  5. Develops and maintains local compliance frameworks for degree accreditation and review processes.
  6. Provides guidance on enrolment targets and recruitment strategies, including budget requests for scholarships and awards to the Dean, academic leadership, and student services.
  7. Provides financial oversight, authorizing expenditures and allocations, and managing budgets for all graduate degrees.
  8. Responds to escalated student complaints about services that staff may be unable to resolve.
  9. Provides operational leadership and direction in consultation with Associate Deans and other academic leadership in support of program change, development, and review.
  10. Oversees and operationalizes all program milestone activities for students, including exhibitions, thesis presentations, symposia, and other public-facing graduate student events.
  11. Collaborates with the Associate Deans to ensure effective communication with faculty, staff, and students regarding curriculum and programmatic operations.
  12. Establishes academic calendar for the Faculty of Graduate Studies ensuring all program milestones are resourced, managed, and communicated to the academic community.
  13. Develops, manages, and operationalizes standardized processes for assigning Teaching Assistantships, Teaching Fellowships, and Research Assistantships with relevant stakeholders.
  14. Oversees, develops, and implements all student orientation activities, student mentorship initiatives, and student consultation efforts for the Faculty of Graduate Studies.
  15. Represents the Faculty of Graduate Studies on university committees and working groups as required by the Dean.
  16. Manages special projects and/or strategic initiatives as required to ensure successful project outcomes.
  17. Manages the Graduate Studies team including selection, mentoring, development, performance management and staffing-related administration.
  18. Establishes and maintains effective and collaborative working relationships with internal stakeholders to provide exemplary service, ensure open communication, provide effective project management, and develop seamless interdepartmental processes.
  19. Performs other related duties as required.
