CGIS is looking for an Inside Sales Coordinator

(Full-Time Permanent)

We are looking for someone with great interpersonal skills, who shows initiative, works effectively and is eager to learn. Reporting to the Operations Manager, the Inside Sales Coordinator will work closely with the Applications Engineering team, Planning, Valve Technicians, Shipper/Receivers and Outside Sales.  Our candidate will be responsible for coordinating activities from receipt of Customer Purchase Order through to delivery, invoicing and ultimately acceptance of the product by the customer.  In addition, this position will be the first point of contact for the organization and handle reception, phones and other duties.

General Responsibilities:

Order Fulfillment:

  • Perform review of incoming orders and complete sales order entry process;
  • Engage with Applications Engineering resources and Outside Sales as required to complete contract review and order entry;
  • Liaise with customer on price and delivery (order confirmations);
  • Conduct regular reviews of open orders and keep customers updated on their order status;
  • Maintain information and notes in GPD and CRM;
  • Provide customer documentation as required for specific orders or contracts;
  • Support Project Coordinator process as required;
  • Provide all necessary information and communication for all internal processes to facilitate the successful completion of the Order Fulfillment process;
  • Update / maintain master data in GPD.

 Administration:

  • Complete administrative activities relating to inventory counts, shipping & receiving paperwork, logging customer Request for Quotations (RFQ) in CRM;
  • Reception duties, including directing calls, greeting customers and responding to general enquiries;
  • Responsible for the coordination and timely completion of non-conformances, returns and internal support requests;
  • Other duties as assigned.

 Complex Orders:

  • Work with Design & Drafting / Applications Engineering Team to ensure product details / item description and bills of materials are accurately entered into GPD;
  • Verify that all special instructions are documented; including documentation requirements, inventory breakdowns (IBD) and / or outside processes (ILFI).

 Qualities and Qualifications:

 -       A clear understanding of sales procedures and policies is needed in this role, as is demonstrated proficiency in CRM, GPD and Microsoft Office software; 

-       Strong time management skills, being able to prioritize and plan in advance and with the ability to support decisions with facts and rationale is critical;

-       Attention to detail is very important in this role, working on the “right the first time” basis;

-       Strong interpersonal communications with the ability to actively listen, understand information and ideas being expressed and to provide reinforced feedback;

-       A professional demeanor and providing outstanding customer service at all times is expected.
