Reporting to the Assistant Manager, Human Resources the incumbent will work closely within a dynamic Human Resources team to provide exceptional customer service to our employees. This role will maintain all employee files, ensure HRIS data accuracy, and coordinate various documentation, forms and other materials for approval and tracking. This role will also support with payroll and benefit administration, as well as other HR and Health and Safety (H&S) projects.  

 1. Key Responsibilities

  • Perform daily HR administration tasks such as creating and maintaining employee files, managing the documentation and paperwork for employee changes, responding to basic employee requests, etc.
  • Perform regular file audits to ensure that all required employee documentation is collected and maintained
  • Schedule and coordinate interviews, in-house meetings, and company events and activities
  • Support various HR tasks and activities such as recruitment, performance management, learning and development, employee onboarding/orientation, etc.
  • Assist in planning and execution of social activities to support employee engagement
  • Draft HR communications which include emails, new hire messages, newsletter
  • Assist with HR reports and information for head office and/or management team
  • Process employee reimbursements and expense claims
  • Verify invoices and receipts and submit for payments
  • Support with payroll and benefits administration, including onboard new hires to benefits, prepare year end documents, T4’s, ROE’s, WSBC, etc.
  • Support ad-hoc H&S activities, including documentation preparation and filing, online research, and other activities
  • Perform other duties as required

 2. Knowledge, Skills and Experience

  • Minimum 1 year of related working experience
  • Post-secondary certificate or diploma in HR is an asset
  • Knowledge of ADP Workforce Now, or similar HRIS/Payroll systems is an asset
  • Professional demeanour, a positive attitude and customer focused approach
  • Strong written and verbal communication skills
  • Well-organized and detail-oriented with ability to complete work in a timely manner
  • Resourceful and proactive in dealing with issues that may arise
  • Ability to prioritize and work under pressure
  • Ability to act with tact, good judgment, and discretion; sensitivity to confidential matters is required
