The Role

The successful candidate will support the Senior Vice President, as well as the Vice President of a busy department. This role also works closely with various departments throughout the organization. Accuracy and attention to detail is a vital part of this role, as both Executives require frequent and extensive international travel bookings.

Capable of operating independently and assessing priorities with minimal direction but able to ask questions when direction is needed. You have excellent judgment and a cheerful optimistic outlook. Where is it based?

Downtown Vancouver – easily accessible via public transit.



  • Coordinate and maintain SVP/VP’s calendar, meetings and provide information including agendas and documentation
  • Coordinate all domestic and international travel arrangements, preparing travel itineraries and agenda packages in connection with business travel
  • Handle email communications as requested on behalf of VP
  • Process SVP/VP’s expense reports and monitor expenses for accuracy
  • Coordinate various reports requested by management in a timely manner
  • Assist in preparation of PowerPoint presentations and Excel spreadsheets
  • Co-coordinate the flow of documents for the department, including obtaining approvals and distributing the information to business partners
  • Assist in planning, organizing and following up on details for events
  • Track time and attendance for staff reporting to SVP/VP’s and report to Human Resources
  • Perform general office duties such as ordering supplies, maintain records management systems
  • Provide administrative support for the Community Investment committee as needed, act as liaison within the program
  • Other administrative duties as assigned


Must Haves:

  • 5 – 10 years’ experience in Administrative roles, with a minimum of 3 years in a senior administrative capacity in a fast paced environment
  • Exceptional technical skills in Microsoft Word, Excel and PowerPoint
  • Excellent verbal and written communication skills with superior grammar and composition skills
  • Ability to develop and sustain cooperative, productive working relationships to demonstrate the organization’s core values and contribute positively to their culture
  • Proactive, highly organized and extremely detail oriented
  • Excellent verbal and written communication skills with superior grammar and composition skills
  • Demonstration of responsibility and ownership – ability to see things through and manage tasks and projects to completion
  • Ability to exercise diplomacy and discretion and to handle highly confidential information appropriately
  • Ability to multitask and work well in a high pressure, multiple-deadline environment, and to work well with minimal supervision and with many styles of direct leadership
  • Ability to use initiative and independent judgment and problem-solving skills
