6-month opportunity to work with our highly talented Payroll team

The Associate (HRIS) is responsible for assisting and supporting the auditing of BCAA's payroll production process specific to time keeping, ensuring all aspects of payroll are produced accurately and on time, providing functional maintenance and supporting project coordination of system enhancements, testing and troubleshooting issues, along with producing procedural documentation. This role works closely with the HRIS Analyst in system improvements and works closely with Finance and Information Systems (IS).

Key Responsibilities

Audit Timekeeping Reports
  • Performs daily audits and reconciliations of reports, specifically from Verint, and the translation of those into Workday, to ensure accurate pay calculations and application of pay rules
  • Reviews payroll data (e.g. timesheets and attendance records) for inefficiencies and errors, verifying the accuracy of all amounts based on hours worked, makes corrections as needed
  • Executes time and attendance processing and interface with payroll as needed
  • Coordinates regularly and openly with Workforce Management (WFM), Road Assistance Contact Centre (RACC), Payroll, Human Resources Information Systems (HRIS) team, Finance and other departments as necessary, to ensure that the way team members are compensated is accurate and on time, and to ensure processes are being followed or amended as required
  • Provides a problem solving and systems thinking lens for processes and procedures with the goal to automate and lean the business process
  • Audits timekeeping to ensure accurate policy application

Provides Manual Intervention for Pay Issues
  • Provides manual intervention for issues related to current timekeeping processes to ensure employees are paid correctly and on time
  • Prepares and submits electronic paperwork for error correction, works closely with HRIS Analyst throughout process
  • Reports to management on payroll issues and recommended changes, in collaboration with the HRIS Analyst
  • Researches, analyzes and resolves payroll related problems or questions by collecting and analyzing information
  • Troubleshoots and resolves system and other issues in conjunction with IS and other support

Documents Processes and Procedures
  • Follow policies and procedures, develops and/or recommends new or revised procedures for improving the overall employee experience related to payroll
  • Designs, documents and implements procedures to streamline payroll processes, with HRIS Analyst/Management support and oversight

  • Communicates with employees and other departments to answer questions and resolve problems, including communicates with management to ensure necessary payroll-related tasks are completed
  • Maintains employees' confidence and protects payroll operations by keeping information confidential
  • Maintains accurate records, updates and monitors processes
  • Perform other duties and special projects as assigned


Education & Experience
  • Grade 12 High School Diploma or equivalent
  • 1-2 years' experience in an HR or payroll administrative role and experience OR equivalent combination of education such as related post-secondary courses
  • Demonstrated experience and knowledge equivalent to the skills of the role
  • Knowledge of time tracking administration, automated payroll and HR functions is preferred but not required
  • Ability to quickly learn and utilize all necessary software programs
  • Ability to multi-task and work under tight deadlines with flexibility
  • Ability to balance reports, seek to understand and resolve issues
  • Ability to take initiative, as well as exercise judgement in the management and prioritization of tasks
  • Attention to detail, well-developed written and verbal communication skills
  • Demonstrated experience with and knowledge of payroll/HRIS/time and labor applications, including exposure to Workday and Verint preferred but not required
  • Demonstrated attention to detail with a keen eye for numbers and ability to work proficiently in Excel
  • Knowledge of provincial and federal payroll and tax regulations
  • Excellent analytical skills with the ability to spot numerical errors
  • Excellent customer service skills are required
  • The ability to work under tight deadlines and prioritize effectively
