As an Administrative Assistant, you will help to increase the organizational efficiency of the company through a wide range of administrative activities from general office management and organizing company events, to preliminary data entry and bookkeeping. You will ensure that accurate and timely information is available when needed. 

 You will act as a primary administrative interface between Lumerical and its customers, vendors, and other stakeholders, playing a key role in reinforcing Lumerical’s reputation as a responsive, effective and efficient organization.  You are a self-starter, able to operate both independently and as part of a tightly-knit team within a fast-paced and dynamic environment.

Responsibilities

  • Providing a range of administrative, clerical and business support services including but are not limited to: answering phone calls, managing office supplies and equipment, maintaining the appearance of the office, preparing the office for company events, maintaining and updating document management/record systems; updating building access for staff;
  • Liaising with building management to ensure that the office is well maintained with minimal disruption to the team;
  • Arranging business travel and preparing travel expense reimbursements for employees;
  • Coordinating and scheduling company meetings;
  • Supporting the Finance team with data entry, bookkeeping, collections, bank deposits, and order processing;
  • Assisting with promotional and social event planning;
  • Assisting with researching suppliers based on cost, value and other considerations; and
  • Making recommendations regarding improvements of administrative processes and procedures to enhance efficiency, accuracy and ease of use. 

Minimum qualifications

  • 1+ years of related administrative experience;
  • Proficiency using MS Word, Excel and Outlook, and an aptitude to learn other software as required;
  • Excellent communication skills in written and spoken English;
  • Excellent interpersonal and customer service abilities, and desire to contribute;
  • Highly organized information management and time management skills;
  • Practical knowledge of business support processes and procedures;
  • Keen attention to detail; and
  • Analytical and problem-solving skills.
