Status: Part-time, 15 hours/week
Schedule: Monday to Friday. 7:00AM to 10:00AM daily, with availability to provide vacation coverage for front desk reception.

Join our team and make a difference - Administrative Assistant

The part time administrative assistant provides a wide variety of administrative support to all departments within Horizon OHS Thompson office as required. Develops, implements and maintains the efficient day to day operations of a remote satellite office.

Here's how
    • Assist with preparing monthly stats, quarterly stats and annual stats • Prepare and submit abnormal results for review with Medical Director • Provide support to the Medical Clinic Team Lead as required • Assist with front reception coverage - replace/cover front desk area during lunch and scheduled breaks/vacation period/absences • File charts, audios and paperwork • Booking client/patient appointments, answering the telephone and emails • Assist with vaccination booking and answering any questions • Prepare insurance claims • Organize for monthly cash balancing, bank deposits and any adjustments/changes • Verify and code all invoices minimum once a week • Ensure all invoices are approved and sent off to accounts payables • Create and updating spreadsheet for invoice tracking • Create doctor invoices a few times per month • Complete monthly accruals for outstanding invoices • Update Physio appointments in Snap Shot for client Vale • Monthly update and email Vale directory • Monthly print out and email Vale termination list • Annually organize, box up, create paperwork and ship out termination charts • Complete Manulife claim paperwork, submit by email and upload to EMR system • Other duties may be assigned

You're the missing piece of the puzzle - Administrative Assistant
    •Medical Secretary/Business Administration Diploma an asset
    •1-2 years of progressively responsible administrative experience, preferably in the medical field
    •Advanced proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint)
    •Experience with payable invoices; coding per chart of accounts, matching POs, tracking expenses
    •Excellent attention to detail and ability to stay organized, take initiative and prioritize workload
    •Strong interpersonal and communication skills
    •Strong analytical and interpretive skills
    •Ability to work independently but also as an active member of our team
    •Able to handle a wide variety of projects
    •Excellent verbal and written communication skills
    •Comfortable working in a fast paced environment
    •Willing to complete Audiometric Technician Certification
