We have an opportunity for an Administrative Assistant to join our Information Services Division (ISD) and work with front and second line managers. The ISD team collaborates with all ICBC divisions to design, build and maintain the information systems that enable us to run our business and connect with our business partners and customers. ISD is a partner in all technological change supporting our new business processes.

As Administrative Assistant, you will be part of a team of administrative assistants supporting ISD. You will be a key departmental resource, coordinating and assisting in day-to-day operations and taking accountability for ongoing operations and projects unique to the operational areas you support. To be successful in this role you will have demonstrated ability to be pro-active in an administrative role, collaborating on building efficient and effective processes and communications to managers and teams that you support.

Position Requirements Your scope includes: • Providing assistance to managers with calendar management, preparing for meetings and special events, and acting on behalf of the manager and the department in responding to internal and external customers and escalating queries as necessary; • Ensuring accurate time entry and reconciliation of time and project records, and identifying and resolving exceptions or discrepancies; • Coordinating and onboarding new staff; • Preparing and maintaining documents, correspondence and reports, presentations and statistics which require demonstrated proficiency in Word, Excel and PowerPoint; • Ensure appropriate online filing and organization of key business documents; • Assisting with budget preparation, variance reporting, reconciling discrepancies and miscoded charges, journal vouchers; and supporting contract administration services including preparing drafts, reviewing, reconciling time, and processing invoices;

• Coordinating and scheduling vendor meetings and presentations.

The successful candidate will possess a strong customer service attitude and effective interpersonal skills including the ability to use tact and discretion while taking on a wide range of administrative tasks in a fast paced environment; strong attention to detail is essential. You have been described as a self-starter who can juggle many tasks at once.

You have an advanced working knowledge of spreadsheet and word processing and other productivity and business software - specifically MS Word, Excel, PowerPoint, SharePoint and SAP, and the ability to quickly learn new systems and process.
